VOICE BY YVONNE O'TOOLE - Terms & Conditions (2025/2026)

1. Booking & Payments

Booking Fee: Your first month’s payment confirms your place in the Academy and ensures we can reserve it just for you. This payment is non-refundable.

Payment Method: All payments must be made via direct debit.

Monthly Fees: Fees must be paid on the 1st of each month.

Defaulting Accounts: If any fees remain unpaid for more than three weeks after the due date, VOICE BY YVONNE O’TOOLE reserves the right to suspend tuition until payment is received. Students with outstanding balances will not be permitted to sit exams, participate in performances, or take part in competitions.

Payment Consistency: Repeated late or missed payments may result in permanent suspension from the Academy.

Bookings: All bookings must be made via our booking system.

Additional Fees: Fees for exams, performances, competition entries, and merchandise must be paid directly to Yvonne. Notifications will be sent when these payments are due.

2. Cancellations & Refunds

- Student Cancellations: Lessons cancelled by students cannot be refunded, deducted, or carried forward.

- Teacher Cancellations: If Yvonne must cancel a class, it will be rescheduled or a credit will be applied.

- Withdrawals: You must contact Yvonne first & she will cancel your subscription on the system. A minimum of 4 weeks' notice is required to withdraw. If not provided, the next full month's fee is still due. Fees are non-refundable in cases of withdrawal.

- Exceptional Closures: No refunds or carryovers will apply if closure is caused by factors beyond our control (e.g.,weather, power outages, or government mandates).

3. Attendance & Student Expectations

- Attendance & Punctuality: Regular attendance and punctuality are essential for progress. Please notify Yvonne via email if your child cannot attend.

- Drop-off & Collection: Parents/guardians must drop off and collect students on time. The academy does not provide supervision before or after lessons.

- Timetable Changes: The academy reserves the right to adjust class timetables if needed.

- Student Conduct: All students must behave respectfully toward peers, staff, equipment, and facilities.

4. Communication & Progress Updates

- Progress Discussions: For one-to-one students, progress should be discussed at the beginning of a lesson or by arranging a separate call via email.

- Preferred Contact: Please use email only for communication. Texts or WhatsApp messages may be lost due to updates.

- Mailing List: All parents are added to the mailing list for updates. Please ensure you receive academy emails.

5. Exams & Performances

- Exams: External accompanists are hired for exams. Rehearsal and exam-day accompaniment costs are not included in tuition.

- Performance Media: Photos and videos may be taken for academy use. If you do not consent, please notify us in writing before the event.
